Travel, Tuition and Expenses Reimbursement

Purpose

To establish guidelines for the reimbursement of Travel, Tuition and Expenses for District approved functions, for members to further their training and education in subject areas recognized by the Fire District as pertinent to District operations subject to the following conditions.

Scope

This order shall apply to all District personnel.

Responsibility

It shall be the responsibility of all District personnel to ensure that the intent of this order be followed.

Procedure

Requests shall be handled and granted on a first come, first serve basis, subject to funds available, District needs and volunteer interest.

All requests must be approved by the Fire Chief prior to expenditures, and are limited to the following:

  • Tuition: Actual cost
  • Books: Actual cost
  • Test fees: Actual cost
  • Travel: current IRS mileage rate
  • Lodging: One night per day of class (more than 80 miles)
    $140.00 for 1 / $160.00 for 2 – per night (tax not included)
  • Meals: Breakfast $ 10.00, Lunch $10.00, Dinner $ 20.00
    (Above listed meal amounts shall not apply when meals are provided in the price of tuition or registration.)

The District may elect to only partially reimburse expenses in some cases, which would be stated at time of approval.

Reimbursement for half the cost of approved medical class tuition, fees, and books will be provided upon documentation of successful completion of the associated class test. The balance of the class fees and test fees will be paid upon passing the State test - - or exhausting all allowed testing opportunities.

Where travel and lodging are involved, members are encouraged to carpool and share lodging accommodations to reduce costs.

Receipts must be submitted for all expenses.

All exceptions to this policy must be approved by the Fire Chief or Training Division Chief.

If prior approval is not obtained or exception is not granted, no reimbursement will be approved.

Violation of this policy is subject to disciplinary action up to and including termination covered in the disciplinary action SOG.
